EXECUTIVE ADMINISTRATIVE COORDINATOR

8:30am - 5:00pm (37.5 hours per week) Monday through Friday
Occasional evenings and weekends may be required

 

Portland Opera is seeking qualified candidates for a fulltime Executive Administrative Coordinator to provide administrative support to the General Director (GD) and the Chief Operating Officer (COO).

General duties include:

·      Maintains calendar, organizes and schedules meetings as needed.

·      Communications management

o   Screens and handles all telephone calls

o   Processes all mail, incoming and outgoing

o   Creates correspondence and reports as directed

·      Prepares Board meeting minutes, maintains Board contact lists, and provides administrative support to Board governance activities

·      Maintain Board checklist for incoming/outgoing members

·      Processes business receipts and invoices

·      Makes travel arrangements for GD and other staff as necessary

·      Coordinates meetings and events, including hospitality arrangements, as directed

·      Performs other duties and completes special projects as directed

·      Catering and hospitality for receptions, Board events and company parties

Other duties include:

·      Human Resource management support

o   Creates and maintains a variety of confidential and general Human Resource files

§  New and current employee files; terminated employee files

§  Workers comp claim files; Health and Safety reports

§  General HR reference materials

o   Assists in preparation of HR and Health and Safety reports

o   Maintains ADP’s Human Resource Benefit (HRB) portal for regular employee benefit and employment information access and distribution

o   Assists in updating and distributing employee handbooks, policies and procedures

o   Assists COO in preparing and managing benefit open enrollment program

o   Maintains master folder of current job descriptions

o   Coordinates employee recognition program and service anniversary acknowledgments

o   Maintain HR checklist for new and terminated employees

General management

o   Archives key business documents as directed

o   Maintains shared network Administration folder

o   Assists in developing and maintaining business operations policies and procedures

General Support to Administration Team:

·      Supervises Building Receptionist and coordinates with tenant All Classical regarding their reception needs and special project requests

·      As Portland Opera’s senior administrative support staff member, the EAC must be prepared to supervise or serve as Lead for specific company-wide tasks and projects as directed

·      As a knowledgeable and effective user of standard office applications, the EAC provides assistance to others as requested on their use, particularly Microsoft Word and Excel
 

The ideal candidate is positive, self-directed, highly organized, detail oriented, outgoing and possess a strong collaborative, team-oriented approach to work.  The candidate must maintain a high level of confidentiality in all matters related to the offices of the GD and COO, and the company in general.  Excellent interpersonal, verbal, and written communication skills are essential.

PRODUCTION STAGE MANAGER

Portland Opera is currently seeking qualified candidates for Production Stage Manager for our 50th Anniversary season.  The 2014-15 season includes four productions.  The 42-week employment period begins on September 1, 2014.  Insured and paid leave benefits are provided during the employment period.
 

Key duties include running all rehearsals and performances, coordinating show-related activities with artists, artistic and administrative staff, and venue department heads and crews, creating and maintaining calendars and documentation necessary for smooth-running productions, and supervising assistant stage managers.
 

Qualified candidates should have a complete understanding of opera/theatre practices and processes, including repertoire and music; strong organizational skills and ability to anticipate potential problems and propose timely solutions.  Only those with demonstrated professional experience in a regional opera company as a PSM will be considered.

SALES MANAGER

Portland Opera is seeking a qualified individual who can help grow our telephone sales and fundraising efforts.   The Sales Manager (SM) provides oversight and management of the sales team and their activities.  The SM reports directly to the Director of Sales and Customer Service (DSCS). 

 

The Sales Managers essential duties include, but are not limited to:

 

  • Supervises all part-time Patron Services Sales Representatives during their work shift
  • Oversees printing and distribution of patron contact information (leads)
  • Assists the Director of Sales with the screening, hiring, and training of new Patron Services Sales Representatives
  • Assists the DSCS in developing campaign goals and strategies
  • Proofs all ticketing and contribution orders received though the Patron Services office
  • Assists in processing of payroll for all part-time Patron Services Sales Representatives
  • Attends Portland Opera events and performances as directed to provide sales and customer service support
  • Typical shift is from Noon to 8 pm, Monday through Friday.  However, the work week may be modified to include occasional evening and weekend shifts
     

The Sales Manager position requires a self-directed individual with demonstrated sales and problem-solving skills.   Direct experience in managing sales and customer service programs is preferred, although other related experience and skills will be considered.  Strong communication skills are required to perform the wide range of essential duties.  Ability to develop and maintain sales policies and procedures is a must.  The SM must possess strong supervisory skills and a working knowledge of labor management.  A solid working knowledge of database maintenance, data integrity, and reporting are also required.   Experience working in the Ticketmaster Archtics environment- or similar integrated ticketing system - and an understanding of performing arts organization operations are very helpful.
